The Status-Based View System
The most effective organization method is grouping by status. Create four primary views: Pending (ordered but not paid), Active (paid and in progress), Delivered (completed orders), and Issues (orders requiring attention).
Each view shows only the relevant orders, making your daily review fast and focused. A typical buyer has 3-5 active orders at any time. Seeing only those 5 orders is far more useful than scrolling through 50 completed ones.
Category Folders for Multi-Type Buyers
If you buy across multiple categories, create folders or tags for each type. A folder for shoes, one for hoodies, one for accessories. This is especially useful when you want to analyze spending by category or track seasonal trends.
The Superbuy Spreadsheet supports folder-based organization. Right-click any order row and select Add to Folder. You can also set up auto-folder rules that place items into folders based on their category tag.
Priority Color Coding

Apply colors by right-clicking any order row and selecting a tag. The color appears as a small indicator on the left edge of the row. At a glance, you can see your entire workload distribution.
The Weekly Review Ritual
Organization is not a one-time setup. It requires a weekly ritual to maintain. Spend 10 minutes every Sunday reviewing your Active orders, checking delivery status, updating tracking numbers, and moving completed orders to the Delivered view.
This ritual prevents the accumulation of stale data. An order that was delivered three weeks ago should not still be sitting in your Active view. Clean data leads to clear decisions.
Archiving Old Orders
After 90 days, most orders lose their operational relevance. Move them to an Archive folder. Archived orders are still searchable but do not clutter your daily views. The system can auto-archive orders based on rules you set, like \"Archive delivered orders after 90 days.\"
